We had a big change this year, Steve Van Fleteren retired on 6/30/22.  For those who would email documents to Steve please avoid using his email because it will delay the completion of your return. 

 

All of us are going through a transition and we are asking that you please be patient.  Many of the meetings and phone calls will now fall to me.  This will take up significant amounts of my time.  In an effort to help, I have added new staff and increased the hours of our seasonal help. We currently have four CPAs and four accountants, all who have experience working on tax returns.  For this reason, I have assigned responsibility for various clients to my staff to help provide you the excellent service you are used to receiving.          

 

It is still necessary to limit the amount of tax meetings since there are only so many hours in a day.  For returns that don’t have a meeting, our procedure will be to have a team member contact you directly, to obtain final pieces of information, provide tax results, and answer any other questions.  If you need a meeting, please contact the front desk.      

 

What can you do to help us with our process? Get your stuff in early!!  Often waiting to give us your documents because you are missing one piece or you get busy can delay the completion of the return.  The earlier we can review your documents the sooner we can determine what else we need.  Next gather all important tax documents mailed to your home and review tax documents that you receive online so you can login to get them printed.  It is usually a broker statement or a K-1 that comes later don’t wait on these things.  Any return we receive after April 1, 2023 will have to be put on extension. The 2022 tax season procedures and tax information form are attached.

2022 Tax Season Procedures

 

  1. Client organizers were printed the first week of January 2023 and we used the prior year list of taxpayers who requested them.  If you would like to be added to the list, please call us at 810-653-1930.

 

  1. Please fill out the enclosed form and return it with your tax documents. 

 

  1. Options to deliver your documents to us:
    1. Mail - It is best to make copies and send certified mail.

 

  1. Deliver to our office and deposit them in our secure drop box located to the right of the suite door.  Please enclose everything in a sealed envelope.

 

  1. Send them through our secure, electronic Portal. Please contact our office and we will assist you with setting up an account.

 

  1. Email your documents to cathy@davisoncpas.com .  Avoid this method with confidential information because this method is not secure.    

 

  1. When your return is complete, we will arrange to review it with you either by phone, zoom meeting or facetime appointment. 

 

  1. Options to receive your tax returns:  
    1. Pick up at our office. 
    2. Mail – Returns will be sent USPS certified mail for tracking purposes.  There is a $10 fee for this method.        
    3. Portal – 24-hour access to your returns once an account is created.

 

  1. IMPORTANT: Form 8879 will be included with your finalized tax return.  It must be signed and returned in order for us to file your tax returns with the IRS and state.  You can return this form to our office by dropping it off, mailing it, or fax to 810-652-1933.  If you decide to email to cathy@davisoncpas.com, please make sure to block out social security numbers.

It is 2024 and another tax season is upon us!

Thank you for using our firm to do your taxes.  It has been our pleasure to help you with your tax needs.  Even though last year was a challenge, we are expecting this coming year to run smoother.  Please continue to be patient with us during this crazy time of year.  We have made some changes to our procedures in an effort to continue to provide excellent service.            

 

Appointments!  We have found that appointments for majority of reoccurring clients are not necessary to complete your return. We will continue to limit appointments for new clients or returns with significant items or changes.  If an appointment is necessary a fee of $100 will be charged in addition to your tax return fee.   

Fee Increases for 2023!  Unfortunately, due to the increase in costs and additional security requirement by the IRS we will be increasing fees this year more than we have in the past.  We are estimating an increase of anywhere from 15-25% over fees charged in 2022.  We do understand this is a big increase over previous years.    

2023 Tax Information Sheet.  This sheet if very helpful to us, please complete and list any questions you have or want answered.  After we complete your return, we will give you a call to go over the results.

How can you help us?   Our biggest challenge is the multiple ways client provide us information. We get some paper, then multiple emails, a photo then a text message.  Most of your income tax information will come in the mail, email or from your accounts.  It is your responsibility to review and organize your tax documents as well as determine what is missing before you send them to us.  Doing this will reduce the unnecessary back and forth time it takes to get all information to complete your return. Contact our office if you have questions about the documents needed – anyone from our office can assist you.

Get your stuff in early!! If you are missing an item (K-1 or broker statement) that you know won’t come till the end of March it is better to send early and make a note of the missing item.  Any return received after March 25, 2024, we cannot guarantee will be complete by the due date and will need to be put on extension.

How to scan documents on your iPhone

You can use the Notes app to scan documents and add signatures on your iPhone or iPad.

  • Open Notes and select a note or create a new one.
  • Tap the Camera button , then tap Scan Documents .
  • Place your document in view of the camera.
  • If your device is in Auto mode, your document will automatically scan. If you need to manually capture a scan, tap the Shutter button  or press one of the Volume buttons. Then drag the corners to adjust the scan to fit the page, then tap Keep Scan.
  • Tap Save or add additional scans to the document.

 

How to scan documents on your Android

Google Drive is an app that works for all Androids if you have a Gmail account

  • Open the Google Drive app .
  • At the bottom right, tap Camera 
  • Point your device’s camera at a document.
    • A blue line outlines the document. This indicates where the picture will be cropped.
  • Take a photo of the document that you'd like to scan.
    • Optional: You can toggle automatic capture by choosing between Manual and Auto capture.Adjust your scanned document
  • Adjust scan area: Tap Crop & Rotate 
    • Adjust the colors, or make image grayscale: Tap Filter 
    • Erase stains, fingers, and more: Tap Clean .
    • Scan another page: Tap Add .
    • Retake the photo: Tap Retake .
    • Delete a page: Tap Delete .
  • Tap Done.
  • Create your own file name or select a suggested title.
  • Optional: To select the Drive folder where you’ll save the document, tap Location.

This letter is to confirm and specify the terms of our engagement with you and to clarify the nature and extent of the services we will provide. In order to ensure an understanding of our mutual responsibilities, we ask all clients for whom returns are prepared to confirm the following arrangements.

 

We will prepare your 2023 federal and state income tax returns from information which you will furnish to us. We will not audit or otherwise verify the data you submit, although it may be necessary to ask you for clarification of some of the information. We will furnish you with questionnaires and worksheets to guide you in gathering the necessary information. Your use of such forms will assist in keeping the fee to a minimum.

 

It is your responsibility to provide all the information required for the preparation of complete and accurate returns. You should retain all the documents, cancelled checks and other data that form the basis of income and deductions. These may be necessary to prove the accuracy and completeness of the returns to a taxing authority. You have the final responsibility for the income tax returns and, therefore, you should review them carefully before you sign them.

 

Our work in connection with the preparation of your income tax returns does not include any procedures designed to discover defalcations and/or irregularities, should any exist. We will render such accounting and bookkeeping assistance as determined to be necessary for preparation of the income tax returns.

 

The law provides various penalties that may be imposed when taxpayers understate their tax liability. If you would like information on the amount or the circumstances of these penalties, please contact us.

 

Your returns may be selected for review by the taxing authorities. Any proposed adjustments by the examining agent are subject to certain rights of appeal. In the event of such government tax examination, we will be available upon request to represent you and will render additional invoices for the time and expenses incurred.

 

Our fee for these services will be based upon the amount of time required at standard billing rates plus out-of-pocket expenses. All invoices are due and payable upon presentation.

 

If the foregoing fairly sets forth your understanding, please sign the enclosed copy of this letter in the space indicated and return it to our office. However, if there are other tax returns you expect us to prepare, please inform us by noting so at the end of the return copy of this letter.
